Business process automation for Australian service businesses

Your processes, running on their own.

Reactor AI automates the work that keeps a service business moving: answering enquiries, qualifying leads, booking jobs, following up and keeping your CRM up to date. Digital agents do the work inside the tools you already use, and our team designs it around you, watches over it and keeps improving it.

Business automation, built around you. From Brisbane.

What Reactor is

One engine. Digital employees. A team that looks after both.

Most tools give you software and leave you to run it. Reactor gives you a working operation: an engine at the centre, digital employees doing the work, and people watching over it so you don't have to.

One core. Three agents. Your tools connected. A task queue and a local model.

The core

The engine at the centre

It connects every agent to your calendar, CRM and email, keeps a task queue that retries when something fails, and holds what we've learned about how your business works. Every new automation plugs into it.

Digital employees

Agents with one job each

Riley looks after your customers, Laura qualifies new leads and books meetings, and Mara follows up by phone at the times people choose. Each has its own instructions, its own tools and its own limits, like a real hire, and works the hours you don't.

The team

People who keep it running

We set it up around your business, monitor it 24/7, fix it when something breaks and tune it as you grow. Technical support is included, and you never log in to anything.

The result isn't a tool to learn. It's a part of your business that runs without you having to run it.

What we automate

Automate one process at a time. Add the next when you're ready.

Each block takes over a part of how your business runs. They all plug into the same core and share what it knows about your business, so adding one never means starting over.

01Live

Customer service

Riley answers every call, answers questions about your business, books, checks and reschedules appointments, logs support requests and passes urgent ones to the right person with a summary.

02Live

Lead qualification and booking

Laura handles new enquiries: asks the right questions, records the lead in your CRM and books the meeting in your calendar, with a confirmation email and invitation.

03Live

Follow-up calls

Mara calls your leads and customers back at the times they choose, works out what they need, books the next step and respects calling hours and do-not-call requests.

04Live

CRM and team updates

Every conversation lands in your CRM with a summary. Your team gets an email with the details and a recommended next step for new tickets and leads.

05Coming

Live transfer and text alerts

The calls you want to take go straight to your mobile, and you get alerts as things happen.

06Building

Operations layer

An assistant that watches how the business is doing, flags what needs attention and recommends the next action. A person approves anything that matters.

07Custom

Built for you

A process specific to your business? We scope it with you and tell you honestly if it's worth automating.

Most businesses start with customer service, because every missed enquiry is a lost job, and add the next process from there.

Your tools stay

If it has an API, Reactor can connect to it.

We adapt to the infrastructure you already run. You don't change how you work for us, and you don't replace the software your team knows.

HubSpot, Google Calendar and email are connected today. For anything else, we tell you honestly what's involved before we start.

Where work gets lost

Work rarely gets lost in the job. It gets lost between the steps.

A call nobody answers, a lead nobody calls back, a quote nobody chases, a CRM nobody updates. Each gap costs you a customer. Reactor closes the gaps so every enquiry moves to the next step on its own.

Without it

  1. The phone rings while you're on a job and goes to voicemail
  2. A web enquiry waits days for a call back
  3. Nobody remembers to follow up the quote
  4. The CRM is out of date, so nobody knows where things stand

With Reactor AI

  1. Every call is answered and the right questions are asked
  2. New leads are qualified and the meeting is booked
  3. Follow-up calls happen at the time the customer chose
  4. Every step is recorded in your CRM, with a summary for you

G'day, Coastline Air Conditioning, you've got Riley. I'm a virtual assistant and this call is recorded. How can I help?

  2. Caller

Sorry to hear that, not fun in this heat. Can I grab your name and suburb?

  4. Caller

    Mel Hartley, Chermside.

  5. Riley

Thanks Mel. Is the unit off completely, or running but not cooling?

  6. Caller

    Running, just not cooling.

  7. Riley

Got it. I can get a technician to you tomorrow at 10:30 am. Does that suit?

  8. Caller

    Yes please.

  9. Riley

Booked. You'll get a confirmation email in a minute. Anything else?

  10. Caller

    That's all, thanks.

How it works

You tell us how you work. We do the rest.

01

We learn your business

Your services, your area, how jobs come in, what slows you down and what counts as urgent. We find what is worth automating first.

02

We build and connect it

Agents, your calendar, your CRM and email, wired together and tested on your real scenarios. You keep your number and your tools.

03

We run it and keep improving it

We monitor it around the clock, fix issues before you notice and tune it as your business grows. You get the results, not the upkeep.

Under the hood

Built so nothing falls through the cracks.

The core does more than connect things. It checks, retries and remembers, so the work keeps moving after the call ends.

Three agents

Support, sales and follow-up stay separate

Riley looks after customers, Laura qualifies new leads and Mara follows up. Each has its own instructions, its own tools and its own limits.

Tools with permissions

Each agent can only do its own job

An agent can look up a contact, check the calendar or send a confirmation only if its role allows it. It can't wander into anything else.

Guard rails

The server checks what the AI hears

Phone numbers are counted and formatted by our system, not guessed by the model, and a caller is never added to your CRM twice.

Calling rules

Outbound calls follow the rules, every time

Follow-up calls only go out with consent, within calling hours in the customer's own time zone, never to someone who asked not to be called, and never as a sales call to an existing customer.

Task queue

If a step fails, it tries again

Follow-ups run in a queue that retries and survives restarts, so a hiccup at a third party doesn't lose your job.

Your tools

Connected to what you already use

Google Calendar, email and HubSpot today. Anything with an API can be connected, and we adapt to your setup, not the other way around.

Our own AI

Internal work runs on our own servers

The behind-the-scenes model that prepares summaries and recommendations runs on our own infrastructure, at no per-task cost, and isn't given caller contact details.

Live calls use third-party voice and language services to speak and listen. What is stored, for how long, and how to have it deleted is set out in your service agreement.

One-time

Setup

From A$500

Every business works differently, so setup is quoted once, after a short conversation about how you work. It starts from A$500 and you pay it one time, before the monthly plan starts.

  • Designing the automation around how your business runs
  • Connecting your calendar, CRM, email and phone
  • Testing it on your real scenarios before it goes live

Every plan includes

  • Riley answering and routing calls 24 hours a day
  • Booking, checking and rescheduling appointments automatically
  • Questions about your business answered
  • Customer added and kept up to date in your CRM
  • Confirmation email to the customer
  • A summary of every call
  • Ongoing monitoring and tuning by us

Shared minutes: all your agents use the same pool, inbound and outbound calls.

Extra minutes: A$0.75 on Solo, A$0.69 on Crew and A$0.59 on Fleet, per minute beyond your plan.

How minutes are counted: each call rounds up to the next whole minute. A 97-second call counts as 2 minutes.

No lock-in: month to month.

Month to month,
no lock-in.

After your first month, keep going only if you're seeing results. There's no contract to get out of and no hard sell on the way out.

Questions

What business owners ask first.

Is Reactor only for answering the phone?

No. Reactor automates the processes around your business: customer service, lead qualification, booking, follow-up and keeping your CRM up to date, with more being built. Answering the phone is often the first step because a missed call is a lost job. We scope each business individually and tell you honestly what is worth automating.

Can you follow up my leads for me?

Yes. Mara calls new leads and customers back at the time they choose, works out what they need, books a meeting and records everything in your CRM. She only calls people who agreed to be contacted, within calling hours, and never calls someone who asked not to be called.

Do I need to understand the technology?

No. You don't log in to anything and you don't need to learn how it works. We set it up, run it, monitor it and fix it, with technical support included.

What does setup cost?

Setup is a one-time fee from A$500. The final figure depends on your business: how your jobs work, how many tools we connect and what you want automated. We quote it after a short conversation, before you commit to anything.

Will callers know it isn't a person?

Yes. Our agents introduce themselves as AI assistants and tell people the call is recorded. People mostly care that someone picks up, asks sensible questions and gets things sorted.

Do I have to change my phone number?

No. You can keep your number and forward calls to us, all the time, after hours or when you don't answer, or use a new Australian number from us. The forwarding options depend on your phone provider, and we'll walk you through yours.

What happens when it can't help?

Riley takes the caller's details and the reason for the call, then routes it to the right person on your team with a summary. Urgent jobs are flagged as urgent.

Which systems does it connect to?

Anything with an API. Google Calendar, email and HubSpot are connected today, and we adapt to the rest of your setup, not the other way around. If something is harder than it looks, we say so before we start.

What do I actually do each day?

Nothing in a dashboard. You don't log in to anything. You get the call summaries and the bookings in the calendar you already use, and we handle the setup and the tuning.

What about the call recordings and customer data?

Your service agreement spells out what is stored, for how long and how to have it deleted. We only use it to run your service.

What if I use more minutes than my plan?

Extra minutes are A$0.75 on Solo, A$0.69 on Crew and A$0.59 on Fleet, ex GST. You can move up a plan or add an agent at any time.

See it on your own business.

Tell us what you do and what eats up your week. We'll show you what Reactor would automate first, and what it would look like for you.
